Who is responsible for your data

Diverse Studio LLC, trading as Diverse Studio, is the controller of the personal data described here. Our UK office is Quantock House, 19 Foley St, London W1W 6DW and our US office is 30N S Gould St, Sheridan, WY 82801.

What we collect

We collect what you choose to give us, plus the technical minimum needed to serve the site:

• Enquiry details — your name, email address, phone number, the service you are interested in and whatever you write in the message field of our contact form.
• Correspondence — the content of emails, calls and meetings once we are in touch.
• Project material — anything you share with us during an engagement, including material about your own users, which we handle on your behalf.
• Technical data — the IP address and request details your browser sends to our hosting provider when you load a page.

Why we collect it

We use enquiry details to reply, scope the work and send you a proposal. That is our legitimate interest in responding to people who approach us about our services, and a step towards entering a contract with you.

We use correspondence and project material to deliver the work you engaged us for, under that contract.

We use technical data to keep the site available and secure, which is our legitimate interest in running it.

Where you tick a box asking to hear from us about our services, we rely on your consent, and you can withdraw it whenever you like.

Cookies and embedded services

This site sets no advertising or analytics cookies of its own, and runs no third-party analytics or advertising scripts.

Our enquiry form is embedded from GoHighLevel, the CRM we use to manage enquiries. That form is served by GoHighLevel and may set cookies within its own frame so your submission works. What they do with that data is governed by their privacy notice.

The showreel clip is served from Pexels, the stock footage library it comes from. It plays as a plain video file with no player script and sets no cookies, but Pexels receives your IP address in order to send the video.

Fonts and images are served from our own hosting rather than a third-party CDN, so those do not disclose your visit to another provider.

Who we share it with

We do not sell personal data. We share it only with the providers that let us operate, each of which acts on our instructions and is bound to keep it confidential:

• GoHighLevel — our CRM, which receives enquiry form submissions and stores our correspondence with you.
• Our email and file storage providers, used to correspond with you and hold project material.
• Our hosting provider, which processes server logs.
• Pexels, which serves the showreel clip and therefore receives the IP address of anyone who loads a page containing it.
• Professional advisers, or a regulator or court, where the law requires it.

Where your data is held

Some of our providers, GoHighLevel among them, are based in the United States. Where personal data leaves the UK or EEA we rely on the safeguards those providers have in place — the UK International Data Transfer Addendum or the EU Standard Contractual Clauses — to give it equivalent protection.

How long we keep it

Enquiries that do not become projects are kept for two years and then deleted, so we have the context if you come back to us.

Records relating to an engagement are kept for seven years after it ends, the period our tax and accounting obligations require.

Marketing consent records are kept while you remain subscribed and for two years afterwards, as evidence that consent was given.

Your rights

Under UK and EU data protection law you can ask us to:

• give you a copy of the personal data we hold about you
• correct anything inaccurate
• delete it, where we have no continuing reason to hold it
• restrict or object to how we use it
• transfer it to another provider in a portable format
• stop sending you marketing, at any time

Security

The site is served over HTTPS, and access to our systems is limited to the people who need it and protected by multi-factor authentication wherever the provider supports it. No system is perfectly secure, but if a breach affects your data we will tell you and the relevant regulator without undue delay.

Children

We sell to businesses and this site is not directed at children. We do not knowingly collect personal data from anyone under 16.

Changes to this policy

We update this policy when our practices change. The date at the top of the page shows the current version.

Complaints

If you are unhappy with how we have handled your data, tell us first at hello@diversestudio.co.uk so we can put it right. You can also complain to the UK Information Commissioner's Office at ico.org.uk, or to your local supervisory authority in the EEA.
